1. Definitions

"ROOST", "we", "us", "our"Green Standard Group Limited (company number 15234567), trading as ROOST
"Platform"The ROOST web application, mobile applications, and related services at roost.to
"Services"All services provided including property management, compliance tracking, financial reconciliation, and AI insights
"User", "you", "your"Any person or entity accessing or using the Platform
"Account"Your user account on the Platform
"Content"Any data, documents, text, images, or materials uploaded to or generated through the Platform
"Subscription"The paid service plan you select

2. Acceptance of Terms

By using roost, you agree to:

You represent that:

The roost Platform provides property management services for UK landlords:

Property and tenancy management
Compliance tracking and deadline alerts
Automated bookkeeping and reconciliation
Open banking integration
AI-powered insights and analytics
Document storage and management
Tenant portal access
Reporting and tax preparation
Work order and maintenance tracking

4. Account Registration & Security

You must:

  • ✓ Provide accurate, current information
  • ✓ Maintain and update your account info
  • ✓ Keep your password confidential
  • ✓ Verify your email address

You may not:

  • ✕ Share your account with others
  • ✕ Create multiple fraudulent accounts
  • ✕ Transfer or sell your account
  • ✕ Impersonate another person

5. Subscriptions & Payments

Pricing

  • • All prices in GBP (£), inclusive of VAT
  • • We may change prices with 30 days' notice
  • • Price changes don't affect current billing cycles

Billing

  • • Billed monthly or annually in advance
  • • Automatic recurring payments
  • • Failed payments may suspend service

14-Day Money-Back Guarantee

Full refund if you cancel within 14 days of your first subscription payment. After 14 days, unused portions are non-refundable.

Cancellation

  • • Cancel anytime through account settings
  • • Access continues until end of billing period
  • • Export your data before cancellation

6. User Obligations & Acceptable Use

You agree to:

  • ✓ Comply with all applicable UK laws
  • ✓ Use the Services only for lawful purposes
  • ✓ Comply with landlord obligations under UK housing law
  • ✓ Maintain required property certificates
  • ✓ Comply with data protection laws for tenant information

Prohibited Activities

✕ Violating laws or third-party rights
✕ Uploading false or fraudulent info
✕ Harassing or harming others
✕ Unauthorized access attempts
✕ Introducing malware or viruses
✕ Scraping or data mining
✕ Reverse engineering the Platform
✕ Reselling Services without authorization

7. Intellectual Property

Platform Ownership

The Platform and all related technology, software, code, designs, trademarks, and content (excluding User Content) are owned by roost or our licensors. All rights not expressly granted are reserved.

Your Content

You retain ownership of Content you upload. By uploading, you grant us a license to store, process, and display your Content to provide the Services, and to use anonymized data for analytics and AI improvement.

8. Privacy & Data Protection

Our data practices are governed by our Privacy Policy.

For your personal data: You are the data subject, we are the data controller.

For tenant data you upload: You are the data controller, we act as data processor.

9. AI-Powered Features

Important Notice About AI

  • • AI outputs are generated based on data patterns and may not always be accurate
  • • You should review and verify all AI-generated content before relying on it
  • • AI features should supplement, not replace, professional advice

AI insights do NOT constitute legal, financial, or tax advice.

10. Disclaimers

The Services are provided "as is" and "as available" without warranties of any kind.

We disclaim all warranties including:

  • • Merchantability
  • • Fitness for a particular purpose
  • • Non-infringement
  • • Accuracy or completeness of content
  • • Uninterrupted or error-free operation

You remain solely responsible for compliance with all applicable laws and regulations.

11. Limitation of Liability

We are not liable for:

  • • Indirect, incidental, special, consequential, or punitive damages
  • • Loss of profits, revenue, data, or business opportunities
  • • Service interruptions or data loss
  • • Errors or inaccuracies in content
  • • Third-party conduct or content

Liability Cap: Our total liability shall not exceed the amount you paid us in the 12 months preceding the claim, or £100, whichever is greater.

12. Termination

By You

You may terminate your account at any time through account settings or by contacting support.

By Us

We may suspend or terminate access if you breach these Terms, engage in fraud, fail to pay, or if required by law.

After Termination:

  • • Your access to the Platform will cease
  • • You may request data export within 30 days
  • • We may delete your data after 30 days (subject to legal retention)

13. Governing Law

These Terms are governed by the laws of England and Wales.

The courts of England and Wales have exclusive jurisdiction over any disputes. Before formal proceedings, we encourage informal resolution by contacting us.
